How does MailFinder Pro check an email address?

Each address passes through a series of checks, quickest first, and stops as soon as one gives an answer. Bad syntax and disposable domains are rejected straight away, and dead domains after a quick DNS lookup. Slower mailbox checks only run on addresses that pass.

The verification stages, in the order they run.
StageWhat it checks
1. SyntaxWhether the address is correctly formed under RFC 5322.
2. Disposable domainWhether the domain is on a list of throwaway mail providers.
3. DNS MX lookupWhether the domain has mail servers at all.
4. Mail provider checkFor domains on some large hosted email services, checks over HTTPS whether the provider recognises the address.
5. Catch-all probeTests a random address to see whether the server accepts everything.
6. SMTP handshakeRuns EHLO, MAIL FROM and RCPT TO, then disconnects before any message is sent.
7. Public sourcesLooks for the address in public directories and profiles.
8. Pattern estimateWhen no mailbox check is possible, picks the likeliest format from known company naming patterns and labels it a best guess.

Why can email checks be unreliable?

Port 25 is often blocked

SMTP checks need outbound port 25, which many home internet providers and cloud hosts block to limit spam. Checks from those networks can time out. MailFinder Pro tells you when a mailbox couldn't be checked.

Catch-all servers accept anything

A catch-all server replies 250 OK for every address, real or not, so an SMTP check proves nothing. MailFinder Pro detects this with a random test address and looks for public evidence instead of reporting a false pass.

Domain checks aren't mailbox checks

A domain having working mail servers doesn't mean a particular person has a mailbox there. MailFinder Pro separates the two, so an unconfirmed address is labelled a best guess or risky, not valid.

What do the results mean?

Every address comes back with a status, a deliverability flag, a 0–100 confidence score and a plain-language reason, so you can see why it passed or failed.

StatusMeaningDeliverable
VALIDA check found evidence that the mailbox exists.YES
RISKY CATCH ALLThe server accepts every address and no public evidence was found.RISKY
SERVER UNRESPONSIVEThe mail server didn't respond in time, so the mailbox couldn't be checked.RISKY
UNVERIFIABLE PORT 25Port 25 is blocked on the network, so the mailbox couldn't be checked.RISKY
INVALIDThe mail server or directory says this mailbox doesn't exist.NO
DISPOSABLEThe domain belongs to a throwaway mail provider.NO
NO MXThe domain has no mail servers.NO
INVALID SYNTAXThe address isn't correctly formed.NO

When you search by name, the finder uses BEST GUESS or NOT CONFIRMED for the likeliest address when the mailbox couldn't be confirmed.

What can't an email verifier tell you?

  • No check is a delivery guarantee. A mailbox can exist and still reject or filter your message, and mail servers can give misleading replies.
  • Some catch-all addresses stay unknown. With no public evidence, the honest answer is risky.
  • A public source is indirect evidence. It shows the address was used publicly at some point, not that the mailbox is active today.
  • A best guess is only a guess. It's the most likely format for that company, and it hasn't been confirmed to exist.

How much does it cost?

Single lookups are free, with no sign-up. Create a free account for bulk lists and API access, with 50 contacts a day. The Pro plan raises that to 1,000 contacts a day for ₹129 for 30 days, and it doesn't renew automatically.

Bulk rows and API lookups both count towards your daily contacts. Allowances reset at midnight India time. See our refund policy.

What CSV format do the bulk tools need?

Log in, then upload a standard CSV with a header row. Each file can have up to 1,000 rows, within your daily allowance. Bulk verify needs an email column, and bulk find needs each contact's name and company domain. Sample files are available in each tool.

Bulk verify

Needs an email column (work_email and email_address also work). You get your file back with your original columns plus verification_status, is_deliverable, confidence_score, provider, mx_host, details and verified_at.

Bulk find

Needs first_name, last_name and domain columns. You get your file back with verified_email, status and mx_host added. Check the status column, because some addresses will be best guesses.

Frequently asked questions

How do you find a business contact's email address?

Start with the contact's name and their company's domain, generate the common address formats, then test them with a verifier. MailFinder Pro does both steps, and shows whether the result was confirmed or is a best guess.

Can you check an email address without sending an email?

Yes. An SMTP check asks the mail server whether it would accept a recipient, then disconnects before any message is sent. Some hosted email providers can be checked over HTTPS instead. MailFinder Pro doesn't send a message when it checks an address.

What is a catch-all email domain?

A catch-all domain accepts mail for every address, whether or not the mailbox exists. That makes SMTP checks unreliable, because even a made-up address gets a positive reply. MailFinder Pro detects this and marks unconfirmed addresses as risky.

Do I need an account?

Not for single lookups. You can use find email, verify email and the email format generator without one, up to 25 lookups a day. Bulk tools and API keys need a free account, which includes 50 contacts a day.

How accurate is it?

It depends on the mail setup. Provider and SMTP checks get a direct answer from the mail system, while catch-all domains rely on weaker evidence. Each check includes a reason, and the finder labels anything unconfirmed, so you can judge it yourself. No result is guaranteed.

What happens to the data I enter?

Uploaded lists are held in memory only, and their results are deleted after an hour. To run the checks, addresses and domains are looked up with DNS services, mail servers, email providers and public sources. See the privacy policy for details.

What are my responsibilities when using it?

Use it only for legitimate business purposes, and follow the data protection and anti-spam laws that apply to you. Have a lawful reason for the contact data you submit, respect opt-outs, and don't send unsolicited bulk mail. See the terms of use.

Can it clean an existing email list?

Yes. Log in and upload a CSV with an email column to bulk verify. You can filter the results by status, then download your file with the original columns and seven added ones.

Does the Pro plan renew automatically?

No. Pro is a one-time payment of ₹129 for 30 days. You won't be charged again unless you choose to buy another period.
